Booking Terms & Conditions
What you are agreeing to when you reserve a trek with us: how a booking is confirmed, what the price covers, and what happens if either side has to cancel.

01Who these terms are between
These terms are between you and Himalayan Trekkers Choice Pvt. Ltd., registered in Nepal under company registration 40128/98, at Thamel, Kathmandu, Nepal. We are licensed by the Nepal Tourism Board, Trekking Agencies’ Association of Nepal (TAAN), Nepal Mountaineering Association.
They apply from the moment you reserve a trek. If you are booking for other people, you are confirming that you have their permission to give us their details and that you will pass our information on to them.
02How a booking is made
Reserving a trek on this site costs nothing and takes no card details. You choose a departure, tell us who is coming, and we hold your seats immediately.
A reservation is not yet a contract. Our Kathmandu office reviews it and writes to you to confirm the trek, the price and how to pay. The contract begins when we send that confirmation. If we cannot run the departure, we will say so at this point and nothing will have been charged.
03Held seats and group size
Your seats are deducted from the departure the moment you reserve, so a seat shown as yours is genuinely held and cannot be sold twice. If a departure fills while you are part-way through booking, we will tell you before you finish rather than after.
Groups run from two to twelve trekkers, with one guide per four guests. If a departure does not reach its minimum we will offer you an alternative date, a different trek, or a full refund.
04Price, and what it covers
Prices are per person in US dollars and fall as the group grows — the price you see on a trek page is the lowest available for that party size. The price we confirm in writing is the price you pay.
- Included
- Teahouse accommodation, three meals a day on the mountain, guide and porter wages and their insurance, all national park fees, TIMS cards and restricted-area permits, and transfers from Kathmandu.
- Not included
- International flights, Nepali visa, personal trekking gear, your own travel insurance, drinks and snacks off the set menu, and tips.
We take payment by bank transfer or in person in Kathmandu, as set out in your confirmation email. No card details are taken through this website.
05Insurance is mandatory
You must hold travel insurance that covers trekking to the maximum altitude of your itinerary and includes helicopter evacuation and repatriation. This is not optional and it is not something we can waive: a rescue above 4,000 m without cover is ruinous, and we will ask to see your policy details before departure.
06If you cancel
These are the same terms published in our FAQ:
- 30+ days before
- Free cancellation. Anything you have paid is returned.
- Within 30 days
- We retain the 20% deposit.
- Within 7 days
- We retain 50% of the trek price.
The reason the late windows carry a charge is that permits, teahouse bookings and guide and porter wages are committed well before you walk. Tell us as early as you can and we will do what we can.
07If we cancel or change a trek
If we cancel a departure for any reason — including safety — you choose between a full refund and a free transfer to another departure. We do not keep a deposit when the decision is ours.
Mountains are not a timetable. Weather, landslides, flight delays into Lukla, political disruption and illness in the group can all force a route change mid-trek. Your guide will take the safest reasonable option. Where a change saves us cost we refund the difference; where it costs more we absorb it.
08Altitude and your guide’s authority
Every itinerary is built climb-high, sleep-low with acclimatisation days, and your guide checks the group morning and evening with a pulse oximeter.
Your guide may order a descent, a rest day or an evacuation, and that decision is final. No pass and no base camp is worth pushing an unwell trekker through. If you continue against your guide’s instruction, you do so on your own responsibility and outside these terms.
09What we need from you
- Accurate passport details for every trekker — a permit is issued in your name and a wrong digit means it is refused at the checkpoint.
- Honest disclosure of medical conditions that altitude or remoteness could affect. We keep this confidential and it will not by itself stop you trekking.
- A level of fitness matching the grade you booked: comfortable walking five to six hours on consecutive days for Easy and Moderate, with hill training behind you for Hard.
- Respect for the teahouses, trails and communities we pass through.
10Liability
We are responsible for running your trek with the care and skill of a professional operator, and we insure our guides and porters accordingly. We are not responsible for loss or injury caused by events outside our reasonable control — weather, natural disaster, illness, airline delay or civil disruption — nor for your own failure to hold the insurance clause 5 requires.
Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for anything else that cannot lawfully be limited.
11Governing law
These terms are governed by the law of Nepal, and the courts of Kathmandu have jurisdiction. If you are a consumer resident elsewhere, this does not remove protections you have under the mandatory law of your own country.
